Export View Data

You have several options for exporting the data in views to locations outside of Anthology Student. When you export the data for a view, it resides outside of Anthology Student. You will need to export the view again if you: 

  • Need to refresh the data with the most current data

  • Make customizations (such as add a filter to the query)

Access Method

Select the Views tile > Explore Views tile.

Procedure to Export View Data

  1. Select the Export button on the toolbar.

  2. Select the command for the format you want. The table shows the: 

    • Supported export formats

    • Type of view that supports the format

    • Option to select when you select the Export button on the toolbar

    Direct link to the query and all the data in the View that can be used in an application that supports OData (such as Microsoft Excel) X X Query URL 
    Microsoft Excel spreadsheet with all data (A maximum of 100,000 records can be exported via Excel from Data Views). The maximum number of properties that can be exported via Excel is 50. Staff members get a message to reduce the number of properties if the number is more than 50 properties via Excel. X   Excel (All Results)
    Microsoft Excel spreadsheet with only the number of rows of data displayed in items per page (The default is 50.) X   Excel (Current Page)

    PDF file that contains the contents of the screen (For grids, the contents corresponds to the number of rows in items per page. The default is 50.) 

    It is recommended to:

    • Change the items per page from 50 to 500 records to export your large records faster.

    • Restrict the maximum number of records to export to PDF to 5000.

    If you try to export more than 5000 records then your system will either lag or will not process it. You may be able to export 10000 records to PDF if your network speed is high (for example, more than 50MBPS). However, it may take some time to get processed.

Additional Information and Requirements for the Query URL Option

All of the options but Query URL export static results. This means that what is exported is current at the time of export. The Query URL accesses the query, so the results are dynamic. Each time the OData application accesses the query URL, the query is rerun and the results are updated to be current.

Because there is access to the system where the query and data are stored, the person or application accessing the data must have permission to use that system.

Reports contain an additional toolbar with options for exporting reports.

Task

Option to Use or Action to Take on the Toolbar

Export the report to a file and preview the contents of the file in a new window.

In the drop-down list, select the format. (The default is PDF.)

Select Preview and export the report. .

Export the report to a file only (no preview).
