Housing Applications

You can use the Housing Applications page to manage the housing application submitted by the student. You cannot edit housing applications with certain statuses such as Withdrawn, Student Placed, etc.

You can also use the Housing Applications page to:

  • Associate a deposit with the housing application submitted by the student

  • Withdraw the housing application submitted by the student.

Prerequisites

To view the page, you must have:

  • Common - Student - View authorization

  • Student Services - Housing Application - View authorization

To add and edit a housing application, you must have Student Services - Housing Application - New and Edit authorization.

Your institution must also have configured:

  • Enrollment for the student (Select the Students tile > select the name in the Students list > expand Academic Records > select the Enrollments tile.) or student application (Select the Students tile > select the name in the Students list > expand Admissions > select the Student Applications tile.) to enable the Program Version Requires HousingClosed Specify whether or not you want program version requires housing for the student. field

  • Document Schedules page (Select the Configuration tile > locate Contact Manager > select Document Schedules.), if you want to schedule documents for the housing application

  • Questions for housing applications (Select the Configuration tile > locate Student Services > select Housing Applications.) Add/Edit Application, edit Questions. One of Housing Period, Term for which housing is required or Academic Year for which housing is required must be active

Access Method

Select the Students tile > select the name in the Students list > expand Student Services > select the Housing Applications tile.

Procedure to Add or Edit Housing Applications

  1. Review the values of the records in the grid.

    Academic YearClosed The academic year configured by your institution.

    ApplicationClosed The name of the housing application.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Date SubmittedClosed The date when the item was submitted for approval.

    Program VersionClosed The program version associated with the student or item.

    SequenceClosed Specifies the sequence in the academic year.

    StatusClosed The status of the student.

  2. If you want to specify or change Program Version Requires HousingClosed Specify whether or not you want program version requires housing for the student. to Yes and have configured a document schedule, select the Save button. Anthology Student schedules the documents configured.

  3. If you want to:

    • Add a new list item, select the New button on the toolbar. If the Housing Fee Required option selected and the Transaction is associated with the Subsidiary in Housing Application configuration, the Housing Fee is created in the Subsidiary Ledger for the selected subsidiary in the application.

    • Edit an existing list item, select the name in the list
  4. Review, specify, or change the following values. The fields can vary depending on the housing application. The list can also include questions configured by your institution.

    Academic Year for which the housing is required?Closed Select the academic year for which the housing is required. You can select more than one value at a time.

    Desired BuildingClosed Select the desired building for the housing application.

    Desired Building CategoryClosed Select the desired building category for the housing application.

    Desired Room CategoryClosed Select the desired room category for the housing application.

    EnrollmentClosed Select the student's enrollment for housing application. For the non degree seeking students, if you selected the enrollment, the Academic Year for which housing is required is disabled. Anthology Student automatically assigns the start date and end date based on the enrollment’s expected start date and expected graduation date. For the degree seeking student, the Academic Years pertaining to the selected enrollment is displayed. Select the corresponding Academic Year(s) that the Housing Application pertains to.

    Housing PeriodClosed Indicates the Academic Year, Housing Dates, or Term. When a housing period is selected, the From and To dates are populated with the correct information.

    Name of the roommate that you want?Closed Indicate the name of the desired roommate.

    Term for which the housing is required?Closed Indicate the term for which the student requires housing.

  5. If you want to save and: 

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

Procedure to Associate Deposit for Housing Applications

  1. Select a housing application record.

  2. Select the Associate Deposit button on the toolbar.

    Anthology Student displays the associate deposit list.

  3. Review, select, or change the following values.

    AmountClosed The amount in dollars.

    Application Program VersionClosed The application program version.

    DateClosed The date of the payment of the housing deposit.

    Deposit StatusClosed The status of the deposit.

    Deposit TypeClosed The type of deposit. The options are: - Housing Deposit - Application Fee Payment

    Program VersionClosed The program version associated with the student or item.

    Receipt NumberClosed The number on the receipt for the payment.

  4. Select the Save button. Anthology Student associates the deposit with the housing application.

Procedure to Withdraw Housing Applications

The housing application status must be "Application Submitted" to enable the Withdraw button.

  1. Select the Withdraw button on the toolbar.

    Anthology Student displays a confirmation dialog box.

  2. Select the Withdraw button. Anthology Student withdraws the housing application and updates the status of the housing application as withdrawn.
