Repackage Financial Aid

You can use the Awards tab on the Awarding page to repackage financial aid and automatically add the awards based on the packaging method you select (auto-packaging).

When you repackage financial aid, the existing awards are deleted and replaced with the new awards. If you edit awards, they will be removed or replaced with awards from the selected packaging method. If you meet the prerequisites for awards, you can also add additional awards and change awards that were auto-packaged.

Prerequisites

You must have:

  • Common - Student - View authorization

  • Financial Aid - Student Award - Add authorization

  • Financial Aid - Student Award - Delete authorization

If your institution has configured permissions for fund sources, you must also be in a staff group that has permission to: 

  • Add the fund sources for awards

  • Delete the fund sources for the awards not included in the new package

If you do not have the authorizations or permissions, only the fund sources where you have permission are repackaged. 

You, the student, and your institution must meet all the prerequisites required to add the specific awards. For example, if the packaging method includes a Pell grant, you must meet all the specific prerequisites for adding a Pell grant.

The student must not be in a financial aid hold group.

Access Method

Select the Students tile > select the name in the Students list > expand Financial Aid > select the Awarding tile > Awards tab.

Procedure to Repackage

  1. Verify that the program version is correct. If not, select the specific program version in the Program Version drop-down list.

  2. Select the new Packaging Method.

  3. Select the Repackage button.

Anthology Student takes the same actions and performs the same validations it did when you packaged the financial aid. For example, it performs the same validations that it does when you add an award and makes the appropriate changes in the Financial Aid General Ledger.

If the award year is 2017-2018 or later and the student has a Pell grant and is eligible for a year-round Pell grant, you must: 

  • Select the Additional Eligibility Indicator check box for the Pell grant

  • Calculate the additional disbursement amount and add it (You can also use the Recalculate Pell Eligibility button.) 

If the student has received full eligibility on a prior enrollment, you must add a new award for the additional eligibility on the new enrollment.

Limitations

You cannot package or repackage the financial aid if there are existing awards in the list and one or more of the awards has a status of Approved.

Because awards can be deleted when financial aid is repackaged, Anthology Student has the same limitations for repackaging that it does when you manually delete an award. If there is a limitation that prevents Anthology Student from repackaging a specific award, it continues and repackages the remaining awards.

You cannot delete an award if: 

  • It is a Title IV award and it has disbursements with an origination status of Accepted, Batched to Send, or Pending Approval

  • It has disbursements that have been paid

  • The fund source for the award has been disabled

  • It was created using the automated awarding feature Student Financial Aid Automated Awarding (SFAAA)

  • If it is associated with a servicer (This can only occur through a Global change file.) 

The table lists any limitations specific to the types of awards.

Type of Award When It Cannot Be Deleted
Loans If the loan has been sent to CommonLine and the Application Processing Status value is A, B, G, I, S, or T.
Direct loan If it has been originated and the award or any of its disbursements have a status of Accepted, Batched to Send, or Pending Approval.
Other grants and scholarships that are Title IV
Pell grant
Work-Study If Anthology Student is integrated with accounting software. (You must cancel the award instead.)
