Manage Degree Progress Audit for Students

You can use the Degree Progress Audit page to review the progress of a student towards completing their degree. You can also use the Degree Progress Audit tab to:

  • View a visual representation of the student's progress

  • Review and edit their courses (such as add and waive courses)

You can expand or collapse the areas for the information you want.  

  • Program Information: Summarizes the information for their program.

  • GPA:  Summarizes all the GPAs associated with the student (such as the Enrollment GPA which is the GPA at the enrollment level calculated from the time the student entered the institution).

  • Course Requirements: Displays the required courses by categories and pools.

  • Courses Not Applied: Displays a list of courses that are not a part of the required course list.

Expanding areas (accordions) without any records will not be displayed.

The categories are displayed in the order specified in the Course list for the program version or area of study. Within the categories, Anthology Student displays:

  • First, the required courses in the order specified in the Course list

  • Then, the elective pools in the order specified in the Course list

Anthology Student uses the same orders to determine the course fulfillment order.

When changes are made to the student's Degree Progress Audit, Anthology Student will automatically reflect these changes in the student's Schedule. If required courses are added, they will be placed in the student's Schedule with a status of Future. If courses are no longer required and are removed from the Degree Progress Audit, they will be removed from the Schedule folder as long as they have a status of Future. If the course has a status of Registered, Current, or Completed, it will remain in the student's Schedule.

Dropped courses, failed courses, and courses not meeting minimum GPA requirements will always be displayed as Unfulfilled.

You can select the icon to display the Requirement Rules Audit tab with the details about all of the requirement rules for the student.

If a course is configured with Retake CourseClosed If you select Yes, you are indicating that this course is a retake course and the retake methodology will apply to the course for the calculation of all GPAs for all instances of the course that the student attempts. This course generally should be considered a course whose credits can apply only once to the program. Retake methodology does not currently apply to the DPA or Pathway and courses that are taken and fulfilled more than once but are retake=Yes can have their extra instances moved to Courses Not Applied. If you select No, you are indicating that this course is NOT a retake course but rather a Repeat course where students can take the course multiple times and have each instance apply to their GPA and to their DPA categories. Repeat courses are not subject to retake methodology and all instances of the course will count within the GPA calculations. of No and it is in a required course list for a program version or area of study more than once, Anthology Student displays it more than once in their Student Courses list and on their DPA. For example, if the course was configured with No and the course was added to the course list for their area of study twice, Anthology Student displays it in the Student Courses list and DPA for the student twice.

If you configure a minimum GPA on the courses in the Course list for a program version or area of study, Anthology Student does not evaluate the minimum GPA when you manually:

  • Fulfill a course
  • Waive a course
  • Add a course

When you fulfill, waive, or add a course manually, Anthology Student assumes you understand what the requirements are for that course.

When a minimum grade point is set on the course list for program versions and areas of study, Anthology Student evaluates the minimum grade point for these courses for associated enrollments: 

  • Elective pool courses
  • Equivalents courses
  • Substituted courses

It also provides notes for the activity in the Activity Notation column.

When a course does not meet a minimum grade point, Anthology Student displays it under Courses Not Applied so that it can be used to fulfill another area. For example, the course can count toward progression in another category, elective pool, or substitution pool that does not have a minimum grade point requirement or lower requirement.

Automated multiple fulfillment is when a course can fulfill more than a single course requirement. An example is an interdisciplinary course that could satisfy a course requirement and an elective requirement. If automated multiple fulfillment is enabled for the program version the student is enrolled in, the requirement would be fulfilled for both in the example shared.

However, while a course and the grade are displayed in multiple categories, they only count once for the entire program. A course can fulfill requirements in multiple categories across the DPA. Only one course requirement within a category can be fulfilled. Using the prior example of an interdisciplinary course, if one instance was a required course and the other an option in the elective pool and both are in the same category, only one course requirement will be fulfilled.

When Automated Multiple Fulfillment is enabled, the completed course is applied to the first category based on the Course Fulfillment Order (CFO) and fulfills additional instances of the course requirement in other categories based on what was configured for Automated Multiple Fulfillment for that program version. Meaning that if the configuration states that Automated Multiple Fulfillment can be used up to two categories if a completed course can satisfy the requirement in those two categories, it will. If there happened to be an additional category where that course requirement exists, it would not show a fulfilled because the configuration is limited to two.

If Multiple Fulfillment is disabled in the second enrollment/ Program Version, course instance in the first category based on CFO is completed and other instances do not get impacted.

  • Academics - Degree Progress Audit - View authorization

The student must also be enrolled in a program version.

Your institution must have configured degree progress audit for your program version.

When your institution configured the advanced features in the system settings for Anthology Student, it must have selected No for Enable New Standard DPAClosed Select this feature flag to enable your institution to use the new standard DPA logic. This setting centralizes the experience between students, advisors, and administrative staff creating a common experience and language within the DPA and its presentation. When you enable this flag, it disables the old DPA in the legacy interface, Student and Staff Portals, and enables the common DPA experience.

Select the Students tile > select the name in the Students list > expand Academic Records > select the Degree Progress Audit tile.

Columns

Program Information

Academic AdvisorClosed Name of the student's academic advisor.

Areas of StudyClosed The various areas such as Major, Minor, or Concentration that the students have taken to complete their degree. The areas of study are configured by your institution.

CatalogClosed The catalog configured by your institution. The catalog contains the courses required for a program version or area of study. The Default - None catalog should not be used.

Current/SchedClosed The total credits or hours for courses in a current or scheduled status within the Degree Progress Audit's required course lists. Credits or Hours will be displayed when the configured curriculum is set to either Clock Hours or Credit Hours.

Degree PursuedClosed The degree taken by the student at the institution.

Enrollment DateClosed The actual date when the student enrolled in the program version.

Enrollment NumberClosed The number assigned during enrollment based on the parameters specified by the institution.

Expected GradClosed The expected graduation date for the student at your institution.

Expected StartClosed The date the student is expected to start enrollment at your institution.

Externship StartClosed The start date of the training or externship.

NoteClosed Area you can use to specify comments or additional information about a change or a request.

SAP StatusClosed The status assigned to the student during the SAP evaluation process.

ShiftClosed The shift during which the student will attend classes (such as days or evenings). Shifts are configured by your institution.

GPAs

CoursesClosed The number of courses required as part of the program.

Cumulative GPAClosed The cumulative grade point average (GPA) for the benchmark. The cumulated GPA for an enrollment is calculated from the time the student entered the institution under that enrollment. The Cumulative GPA column includes all courses taken that are selected to be included in the GPA calculation. In the case of a cumulative GPA displayed on a term, it consists of all the courses taken up to and within the terms that are also selected to be included in the GPA calculation. The current GPA is made up of only the courses that occurred in that term.

GPAClosed The grade point average (GPA) for the student.

GPA TypeClosed GPA types include Course Level, Course category, Additional, and Program level. If the record is not of any specific GPA Type, N/A is displayed.

Grade PointsClosed Points assigned to each letter grade.

Quality PointsClosed The quality points used in calculating the student's GPA.

Quality UnitsClosed The sum of quality points divided by the sum of credits attempted that affect the GPA.

Units AttemptedClosed The units attempted by the student for the term or payment period.

Units EarnedClosed The units earned by the student for the term or payment period.

Course Requirements

 

Activity NotationClosed Anthology Student indicates the actvity for a course on the DPA. For example, if the course was fulfilled using an equivalent, the column indicates Fulfilled by followed by the course code.

Added/WaivedClosed The total credits or hours for courses that have been manually added to or waived from the Degree Progress Audit.

Applied to Category Closed Displays the number of credits or hours applied towards fulfillment. For example, if the student did not meet the minimum GPA configured for a completed course, the column contains 0 and it displays Unfulfilled.

Attempted CreditsClosed Indicates the credits attempted.

Completion DateClosed The class section start and end date.

Course CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

Course NameClosed The name of the course.

Course LevelClosed The course levels associated with the student's degree. Course levels are configured by your institution.

Current/SchedClosed The total credits or hours in a current or scheduled status for courses within the Degree Progress Audit's required course lists.

Earned - Applied to TranscriptClosed Displays the hours shown on the transcript. For example, if the student completed the course with a passing grade, the column contains the credits or hours displayed on the transcript.

Fulfillment NoteClosed Shows any notes added to the Fulfillment Note field by the staff member when an action for the course was taken on the DPA. For example, if a staff member specifies a substitution for a course, they can add their own notes. The column shows the notes.

GradeClosed The grade posted for the enrollment.

Grade TypeClosed The grade type, for example, non-pass/fail.

Min Grade PointsClosed The minimum grade points required for the course.

RemainingClosed The credits or hours remaining.

RequiredClosed The number of credits or hours required for the course or enrollment.

Course not Applied

This column is applicable only for non-term programs (Academic Calendars 5 and 6) and is displayed when Enabled is configured for the Allow courses to be exempt from progression setting.

StatusClosed Indicates the status of courses. It displays whether the course have been: • Fulfilled or completed • Unfulfilled or dropped

TermClosed Select a term from the list of available terms.

Transfer InformationClosed Information included when transferring credits for a student.
