2024-25 Comment Code Updates
The comment codes in the system have been updated as described in Volume 7 of the 2024–25 FAFSA Specifications Guide (May 2024 Update) | Knowledge Center.
ISIR Verification - Legacy and Web Interface UI
The system has been updated to enable customers to verify all 2024-25 ISIR data and verify 2024-25 ISIR data based on the verification group. All existing functionality has been retained.
The read-view-only FTI column has been added. The CUI//SP-Tax label appears at the Start and End of the data variable. The label remains wherever the data is printed, viewed, etc. FTI data is appropriately labeled w/ CUI//SP-Tax.
New Application Processing EDE Path
The introduction of the FTI-SAIG Mailbox and FT Numbers for 2024-25 and later required a new Campus EDE path in Anthology Student to import ISIR files. The system now provides separate directory paths.

Auto Awarding
Automated Awarding to not Award an Automated Cash Payment Plan when Deactivated
The system allows a user to deactivate an automated cash payment plan for automated awarding as needed. It is advised that if the automated cash payment plan will no longer be used for Automated Awarding, the field value for "Auto Awarding" should be set to "No". This makes processing and maintaining the payment plans a manageable process. The cash payment plan can be Auto Packaged and Auto Repackaged as well.

Disbursement Schedules Are Not Copied to Packaging Options for Campuses Where the Disbursement Schedules Are Not Configured to That Specific Campus
The Copy Budget and Options option on the Automated Budget and Packaging Options form will not copy the Disbursement Schedules to the packaging options for other campuses where that same Disbursement Schedule is not configured. Any program version that is now missing a Disbursement Schedule, because it was not copied over, will get an exception informing the user awarding could not occur due to the missing disbursement schedule. The user will receive a message to say the Copy Budget was successful, even though not all fields were copied.

Automated Awarding Review Did Not Display Nested Information When Exported to Excel
When exporting to Excel, the Automated Awarding Fund Source Priority grid displays all data for users to view the necessary information. The following changes have been made to the system:

Students Are Auto Repackaged With Proration as Required, Number of Disbursements, and Aid Per Federal Regulations for the Last Academic Year When It Is Not a Full Standard Academic Year
Auto Repackaging reduces the number of Direct Loan disbursements based on the number of terms remaining in the last academic year. This is done by accurately determining the Direct Loan Terms configured to be awarded. To ensure that disbursements are awarded correctly, the Awards form must have the correct number of terms checked within the Direct Loan Terms. For example, if 2 of 3 terms are checked, then 2 disbursements will be awarded.
Auto Repackaging will only award disbursements against the Terms that have been enabled (checked) on the Awards form. It is important to review the Direct Loan Terms on the Awards form to ensure that disbursements are awarded accurately.

Ability to Select "Round Disbursements to Whole Dollars?" For All Fund Source Types
Auto Repackaging restructures awards disbursements for Payment Periods and Disbursement Schedule, including Alternative Disbursement Schedules. Auto Repackaging applies UP/DOWN rounding logic to disbursements to ensure that when award amounts cannot be split evenly between all disbursements, the last disbursement will never exceed the total award amount.
If the Alternative Disbursement Schedule is configured to award a disbursement in exact pennies but the Automated Awarding Fund Source Rule grid has the "Round Disbursements to Whole Dollars" as enabled, then standard rounding will be applied to the decimal value. It is best practice that if the institution wants whole dollar disbursements, they should only configure whole dollar disbursement amounts.
If the Auto Repackaging's option to use the Enrollment Allocation had a disbursement amount in exact pennies but the Automated Awarding Fund Source Rule grid has the "Round Disbursements to Whole Dollars" as enabled, then standard rounding will be applied to the decimal value. Auto Repackaging Adjusts Individual Disbursement Amounts Based on Enrollment Allocation of the Full Eligible Disbursement Amount after an Award Level Increase or Decrease
Auto Repackaging updates disbursements based on fund source increases and decreases at the award level by invoking the configuration to update only those disbursements accordingly. Also, Auto Repackaging adjusts individual disbursements when the Term Repackaging Effective Date is active, and an Enrollment Allocation requires a single disbursement to be adjusted but there is no award level increase or decrease.
This allows Auto Repackaging to increase or decrease the full fund source amount across all disbursements evenly and then apply any single disbursement adjustment to ensure accurate awarding.

Activate AUTOPACK0030 and REPACKAG0036 to Allow Multiple Enrollments for Non-overlapping Academic Year Programs, NDS, and Admissions Applications With no Impact.
Auto Awarding renews exceptions titled "Student associated to multiple active/enrolled enrollments". The process uses the next removed document number (AUTOPACK0030 & REPACKAG0036).
The system only generates an exception when there are two or more active program versions that are not connected for enrollment, but both qualify as Title IV eligible as defined in Configuration > Financial Aid > Program Version > Title IV Eligible, and there is a crossover of academic year sequences between them.
The system does not generate an exception if multiple active enrollments are Title IV eligible and do not overlap with the start and end dates of any academic year sequence. Additionally, the system only considers those enrollments that are present on the Academic Records > Enrollments form, rather than including admissions applications as active enrollments.
An exception is raised, including a detailed list of all active and enrolled enrollments of a particular student. This will be a process level exception that will prevent all funds from being awarded.
Steps to Resolve:
Step 1a. Student must have only 1 active enrollment if the enrollments are not connected.
Step 1b. Review exception details and determine which enrollment(s) should not be active.
OR
Step 2. If using connected enrollments. the student must have one enrollment set as the default enrollment in which funding will be awarded.

Ability to Copy Default Budgets for all Enrollment Statuses
Automated Budget and Packaging Options will replace the current enrollment status budget by copying the default budget fields. When the copy is invoked, it will only update current enrollment status budgets for the specific program version, student group, or area of study the user is within while making the copy.
Automated Budget and Packaging Options provide:

The "Copy Current Default COA" link below the Default COA check box. This hyperlink is only enabled for use on the Default COA. If the user tries to modify the default COA, the hyperlink will NOT be enabled until the user saves the new default COA.

All configured "Current" Cost of Attendance items from the Payment Period Effective Date, Common Fees, On Campus, Off Campus, and With Parents will be copied from the Default COA and updated onto the same program version's budget for the enrollment statuses selected.

A pop-up dialog with the message "All copied Payment Period Effective Date(s), Common Fees, On Campus, Off Campus, and With Parents fees will overwrite all existing dates and fees within the Current Budget values”, lets the user choose which enrollment status should have the COA set as default to be copied to the other enrollment tabs, including Full Time, 3/4 time, 1/2 time, and LTHT budgets. The user can select one, some, or all the statuses to be updated with the default COA budget values.

The "Copy Current Default COA" link can be seen on the Past, Current, and Future COA Budget Methodology but it will only copy from the Current budget values into the enrollment status selected for that Current budget grid. The copy will not update the Past or Future budget values.

Ability to Select "Round Disbursements to Whole Dollars?" for All Fund Source Types
The Automated Awarding Fund Source Rule grid allows Grants Other than Pell, Other Outside Resources, and Scholarship fund source types that don't give the user the ability to round the funds to whole dollars at the fund source level to enable/disable the "Round Disbursement to Whole Dollars?". Auto Packaging awards disbursements for Payment Periods and Disbursement Schedule, and Alternative Disbursement Schedules with the logic to round the first disbursement up and the next disbursement down (repeating) but the last disbursement will be rounded as to not exceed the full fund source award amount.

Auto Refund Calculation
Users Can Activate or Deactivate an Automated Cash Payment Plan
The main grid of the Automated Cash Payment Plan form now allows users to deactivate or activate a cash payment plan, regardless of whether it is used for Automated Refund Calculations. A new column in the main grid indicates the active status (Yes/No).

Updated Validation Message for Duplicate Automated Cash Payment Plan
The system displays a new validation message when a user tries to save a duplicate of an Automated Cash Payment Plan for the same Campus, Program, and/or Program Version.

If a user saves a new payment plan or edits an existing plan, the system displays the standard message confirmation message.
Automated Refund Calculation Hides Functionality Process to Refund Calculations for Active Students
The option “Process Refund Calculation for all students within the groups regardless of student status” and the “Student Groups” field are removed under “Refund Calculation Options” for Refund Calculation jobs.
For automated R2T4 and/or IR calculations, institutions process refund calculations based on status changes. Students with active status are not expected to receive an R2T4 or IR refund unless the Settings> System> Status Changes has been updated to be considered as "Status Represents a Title IV Withdrawal". That status will allow institutions to keep students as active for reporting but also allow them to process a status change so both the R2T4 and IR calculations are generated timely.
Any student who needs to see a refund calculation based on their current enrollment can still have a hypothetical refund calculation created within the student's Student Accounts tile, even when Automated Refund Calculation is enabled for processing.

Prior Automated Refund Calculation Status Remains Upon Re-entry and Withdrawal
Automated Refund Calculation changed the status of a previously approved R2T4 to "Not Required" when a subsequent R2T4 was processed for the same period based on the new NSLDS Withdrawal "Exempted". The system no longer updates the status of a prior Automated Refund Calculation status when a student re-enters and then withdraws in a subsequent payment period with a new LDA, WD, and DoD.

Automated Refund Calculation Review - IR Status Reset Message
When the Automated Refund Calculation is created with the following statuses:
- IR = Reviewed
- R2T4 = Exempted
and the user updates the statuses to:
- IR = Approved
- R2T4 = Rejected or No Longer Needed
the system resets the IR status to Review and presents the following message: Updating the R2T4 status will also set the Institutional Refund calculation status to a status of Review.

Dependencies Between Automated and Manual Refund Calculation
Student Accounts allows users to create a manual refund calculation when the Automated R2T4 refund calculation is in Rejected or Not Required status and the IR Calculation is in Rejected or No Longer Needed status.
If users manually create a Hypothetical refund calculation, they can convert it into an Actual calculation. Users can post only Actual calculations for the same Last Date Attended (LDA), Withdrawal Date (WD), and Date of determination (DOD).
Suppose the Advanced Feature for Bypass Automated Refund Calculation is enabled but the Automated Refund Calculation is disabled at the Process Level Activation. In that case, users can create a Hypothetical or Actual refund calculation in Student Accounts with the ability to post the Actual calculation.

Anthology Student provides functionality for refund calculations in Student Accounts (SA) and Financial Aid Automation (FAA).

In FAA, refund calculations can be created automatically based on the campus and program version configuration of the refund calculation job.

In SA, a refund calculation can be created manually.
- The manually created refund calculation can be Actual or Hypothetical.
- A Hypothetical calculation can be converted to an Actual.
- An automated refund calculation cannot be converted to Actual.
The Advanced Feature “Bypass Automated Refund Calculation” controls the dependencies between the refund calculation processes in SA and FAA.

The system does not allow users to convert a manual SA refund calculation from Hypothetical to Actual when an Automated Refund Calculation is an Actual calculation in any other status than No Longer Needed or Not Required for the same LDA, WD, and DoD. This is regardless of whether the FAA Process Activation has Auto Refund Calc enabled or disabled. There can be only 1 Actual refund calculation, therefore, the user must update the Auto Refund Calculation to No Longer Needed or Not Required.

Posting Refund Calculations From the Student Accounts Tile
Automated Refund Calculation adds the LDA (Last Day of Attendance), DOD (Date of Determination), and Withdrawal Date (NSLDS Withdrawal Date) columns to the Refund Calculations grid under Student Accounts. Each column reflects the applicable dates for that refund calculation. These columns display dates for each line item in the grid regardless of whether Automated Refund Calculation has been enabled or disabled in the Automated Process Activation and regardless of whether the calculation was created by Automation or Manually.
When the refund calculation records are expanded, the grid displays a column for the Refund Status. The Refund Status reflects the Return to Title IV or Institutional Refund status in the Automated Refund Calculation Review grid for the program being viewed.

Campus-Based COD Export/Import Notifications
The system notifications for the Campus-Based COD Export and Campus-Based COD Import jobs have been updated to match similar processes in Anthology Student.

When a batch is queued, the system generates an initial notification that indicates the Campus-based COD Export/Import was successfully queued.

Once the job is complete, the system provides a notification indicating the job status: succeeded, failed, or completed, and includes the batch ID.

Within notifications (bell icon), the job status (completed, succeeded, failed) is visible and provides a hyperlink directing users to the relevant batch on the History tab of the respective export/import form.

The system includes the process name and time stamp within all job notifications.

Upon selecting a record and clicking “Regenerate Batch” and “Retry”, the system provides an initial notification of successful queuing, followed by a notification detailing job completion status, time stamp, and batch ID.

The notification details, including job completion status and a hyperlink to the batch, appear within the bell icon notifications.

When a user selects the “Cancel” button (where enabled/applicable), the system displays a message confirming the Campus-Based COD Export/Import batches were successfully canceled and displays relevant status updates.

Automated COD Import - Remove 2024-25 Award Year Files from COD Import Job Management - Legacy and Web
The COD Import Job form in the Student Web App and legacy will no longer import any message classes that are coming in 5.0b schema. Users are required to use Processes > Financial Aid > COD Import to import all the message classes that are coming in 5.0b schema.
Automated Job Management - Remove 2024-25 Award Year from the COD Job - Legacy
The COD Export Job form under Automated Job Management in the legacy interface no longer lists the 2024-25 award year for selection. As an interim solution, it is required to use manual COD Export, Daily > Financial Aid > Export Data or Import Data > COD menu to Export and Import 2024-25 award year information.
2024-25 - Pell Year-To-Date Changes
Regulatory US 24.3.0 supports the Pell Year-To-Date changes specified in 2024–2025 COD Technical Reference (Initial) | Knowledge Center. The changes apply to award years 2024-25 and later.
Phase I - 2024-25: COD Import: Process Origination, Disbursement, and Adjustment Data for Common Record Files in the Correct Schema
Regulatory US 24.3.0 can successfully process, import, store, and update necessary information upon import of any of the supported COD XML Import response files for the award year 2024-25 in the 5.0b schema. The system continues to support the older schema for prior award years.
Phase I - 2024-25 COD Export - Award Year Common Record Document Submissions
All Common Record documents created by the system adhere to the existing COD Common Record XML Schema Version for the new award year 2024-25 This applies to all supported message classes, all supported COD Fund Sources, and all available Export options and Methods.

2024-25 COD Export - Strong Validation
Strong Validation applies to the award year 2024-25 and later in the 5.0b schema only. A new COD Export validation is generated when Enrollment Intensity is not within its valid range of 0-100.
2024-25: COD Import: 3 New Tags

The system will handle three new tags added to the common record import response file:

Enrollment Reporting
Configuration Option to Exclude NDS Students (Clearinghouse and SSCR)
The Clearinghouse Enrollment Reporting process in the Student Web App enables users to select the Exclude NDS Students option to exclude non-degree-seeking (NDS) students from the Clearinghouse Extract file. The Exclude NDS Students option is available for export by campus, program version, program version group, and area of study.
The Enrollment Reporting process in the Student Web App also enables users to select the Exclude NDS Students option to exclude non-degree-seeking (NDS) students from the Roster file.

New Data Block Indicator
The export logic for the Clearinghouse has been updated to evaluate the newly added ClearinghouseDBI database field to determine whether to assign a "Y" or "N" to the Directory Block Indicator, instead of relying on the former field in the Student Master, which is now being renamed to FERPA Indicator.

"Y" indicates that the student has requested a block on the disclosure of their name and/or dates of attendance.

"N" indicates that the student has not requested such a block.

Housing Status Configuration
Staff members can use the Housing tab to configure the housing dialog on the FinancialAid Overview in the Student Portal. The Housing tab provides the following options:

Copy Housing Settings to Other Campuses
Staff members can copy the housing configuration of the Financial Aid Overview page to another campus. The Copy Housing button in the toolbar displays the following pop-up to select the target campus.

Portal: Housing Status is Read Only in FAO After Housing Status Is Updated.
When a student has already updated the housing status via the housing status pop-up or the housing status was retrieved from a previously selected housing status value, an information icon is displayed next to the housing status value with the tooltip: "Students may contact FA Advisor to update Housing Status". The tooltip is configurable in the Student Web App under Configuration > Student Experience> Financial Aid Overview > Housing (tab).

Portal Award Letter Bank Fee Calculations on Private Loans
When a student changes the Gross Amount for a loan, the Financial Aid Offer page displays the recalculated value of the Total Loan amount in the Loans grid, in the Total Loans tile, and in the Summary section.

Financial Aid Exceptions
Improved Performance and Update Based on Date Last Modified Criteria
The Automated Financial Aid Exceptions tile is now optimized by improving the performance. The page loads the required data based on the last 24 hours that the exceptions are modified. Below are the optimization details:

Default past 24 hours exception should be based on default criteria Date Lst Mod. This will load the exceptions based on the UTC zone.

The number of exceptions counts and the grid will remain the same on the numbers when a user moves to any other tile or comes back from Advance Search

When users in a manually created tile open an exception (by selecting the Exception Code) and then leave the page, the users will see the number of exception records from the tile.

Lock and unlock of an exception will now not update the Date Last Modified. However, the history will continue to update when the exception was locked and unlocked and by whom.

When the student search happens on the loaded result set and the characters are removed, the form loads the tile from which the student search is performed.
