Copy a Class Schedule

You can copy: 

  • Class section information from one class section to a new class section within the same term.
  • One or more class sections or all class sections in a source term to a destination term.

Duplicate class sections will not be copied over into the new term. For example, if ACC101 already exists in the source and destination term, ACC101 will not be copied over from the source term.

The class section is copied with the schedule, including class days, periods, and their instructors specified in the schedule. When attempting to copy "All Sections" from one term to another, all the class sections are copied to the new term as:

  • Active classes will be copied as Active
  • InActive classes will be copied as InActive
  • Cancelled classes will be copied as Active

When you create or copy a new class section using Copy Class Schedule, the class section is created against the default campus set for the logged-in user. You need to change the default campus to the campus you are trying to copy the schedule for.

Your institution can define custom properties that are unique to your institution using the Extended Properties page. (Select the Settings tile > expand System > select Extended Properties.)

The Extended Properties section on this page displays all the fields that your institution has defined so that you can view, complete, and edit them. Because the fields vary by institution, your institution will provide tooltips or additional information you need to complete or edit the fields. If your institution has not configured extended properties, this section is not visible.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Academics - Class Scheduling - Edit authorization

You must not be using floating terms.

Access Method

Select the Class Scheduling tile, select one or more of the following filters, and select Apply Filters.

CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

CourseClosed Select the code and name identifying the course the student is enrolled in. You can select one course at a time.

Course Offering Closed The Course Offering list enables you to filter courses based on Courses offered at the campus, Courses shared with other campuses, or Courses shared from other campuses.

DepartmentsClosed Lists all active departments. If the page has filters and Department is a filter, you can select up to 10 Departments at a time. The Departments filter in Class Schedule and the Departments property in Copy Class Schedule under Properties to Copy is visible only when you enable Faculty Workload Management. If the Department property is not selected during the Copy Class Schedule, Anthology Student displays a blank value in Department for the new Class Section.

InstructorClosed The primary instructor assigned to the course or class section.

TermsClosed Select the available terms with start and end dates for each term. You can select up to ten terms at a time.

Tips:

  • If a term doesn’t appear in the drop-down list to select, go back to your term configurations and make sure that the Registration & Attendance option is selected under the Terms Usage setup.

  • If you have multiple terms for a semester, you can add multiple terms to the search field.

  • If you need to see every section of a specific course or every course by a specific instructor, you can apply those filters as well to get more detailed information.

  • If you have multiple campuses, the campus you are searching must match the campus selected in the upper right-hand corner of the screen.

Procedure to Copy a Class Schedule

  1. Select a class section and select the Copy Class Schedule button.

  2. Specify the following items. The fields that are displayed will vary depending on the copy option that you selected.

  3. Under Properties to Copy, select the appropriate properties that you want copied over to the new class schedule.

    Attendance RulesClosed Determines how attendance is maintained for the course. The available options are: - Time Absent-All - Time Present Only - Time Present-All - None However, if the course is set up to measure the units completed instead of time, you must select either Time Present Only or None.

    Book ListClosed When selected, Anthology Student copies the book lists specified using the Books Lists.

    Course Sharing CampusesClosed Enables students from other campuses to take the course offered at this campus. Select the campuses that are allowed to share and cross-reference the course.

    Cross ListedClosed When selected, copies any cross listed courses.

    DaysClosed The days of the week.

    DepartmentClosed The department to which the admissions representative is assigned.

    DocumentsClosed Lists the document names. If you are selecting the documents, you can use the search icon to display a list that you can use to select multiple documents.

    Fee SchedulesClosed When selected, Anthology Student copies the fee schedules.

    GradebookClosed This option is not available.

    Hide FacultyClosed Copies the option selected for Hide Faculty. The option specifies whether or not faculty names for this class from appear on the online forms in Portal.

    Hide LocationClosed Copies the option selected for Hide Location. The option specifies whether or not the location information for the class appears on the online forms in Portal.

    InstructorClosed The instructor or instructors assigned to the course or class section.

    Instructor AttributesClosed Additional attributes associated to the instructor for the class section.

    LMS VendorClosed Specifies the name of the Learning Management System (LMS) vendor.

    Max Course SectionClosed The seats available in the class section.

    RoomsClosed The code and name of the room where the class is taken. Rooms are defined by your institution.

    Schedule with Load TypesClosed Select this check box if you want to copy Schedule with Load Types to new Class Section when Faculty Workload is enabled. If you edited existing meetings or added additional meetings, those meetings with their load types are also copied. Faculty Workload copies only the Load Types from courses and not from class section.

    Secondary InstructorClosed The instructor who will teach the course. You can assign additional instructors or secondary instructors for courses that are taught by one or more instructors or have assistant instructors for lab sessions. For courses with multiple instructors, you must designate a primary instructor. Courses may or may not have secondary instructors.

    Secondary Section CodeClosed The secondary section code for the class gives your institution the flexibility to distinguish or categorize its classes. It supports alphabetic and numeric characters and can be any word or phrase meaningful at your institution. For example, you can specify a department code for the department hosting the class section. Or it could be a code that tells students and staff members the class section is for a pre-planned schedule. In the example using a second section code of BSNUR23FF, the code tells Bachelor of Science Nursing students that 5 classes with the code should be taken in the fall of 2023 for an ideal freshman schedule. It is optional for your institution and can be left blank.

    Sub-component TypeClosed The type of sub-components available for this course. This is configured in the Course Sub-Components configuration. Eg, laboratory sessions, tutorials, lectures, seminars etc.

    Time/LengthClosed The time of the class meeting.

    Variable Credit PropertiesClosed If the course was configured as a variable credit course that allows edits to the Credits and Hours fields, copies the variable credit properties when selected.

    Waitlist PropertiesClosed Indicates whether a waitlist is configured for the course or class section.

    Registration RelationshipsClosed Ensures that the students are registered to the correct class sections.

  4. If your institution has configured extended properties, complete the fields under Extended Properties.

  5. Select the Copy button.

  6. If you selected Single Class Section or Selected Class Sections, select the appropriate option on the dialog for partially filled class sections and select Continue.

Additional Information for Faculty Workload

When using Faculty Workload Management, on save of the class section in Class Scheduling and Non-Teaching activity in configurations, the default position for each faculty based on the term configured will be assigned for the teaching and non-teaching assignments. This is used for the assignment load validation in:

  • Load Validations (Select the Processes tile > locate Faculty Workload > select Load Validations.)

  • Assignment Manager (Select the Processes tile > locate Faculty Workload > select Assignment Manager.)

If no default position is assigned, Anthology Student will display a blank position and the record cannot be processed by the Batch Processing Load Validations until a position is assigned.

Limitation of Copy Class Schedule Without Instructor on FWM

If you have copied a class schedule without Instructor in Properties to CopyClosed Select the properties that will be copied over to the new section or new term. for which secondary instructor assignment exists in the Assignment Manager page (Select the Processes tile > locate Faculty Workload > select Assignment Manager.), Anthology Student recommends you to update the instructor details before you do the load validation, pay generation or finalize the secondary instructor assignment. If not updated and secondary instructor assignment's load validated, pay generated, or finalized then you must reset the assignment.
