Fill from Period Template

You can generate a pattern using a period template.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Academics - Class Scheduling - Edit authorization

Your institution must have configured period templates on the Period Templates page. (Select the Configuration tile > locate Academic Records > select Period Templates.)

Access Method

Select the Class Scheduling tile > select the one or more of the following filters > select Apply Filters > add or select the course in the Class Schedule list > select the Schedule tile.

CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

CourseClosed Select the code and name identifying the course the student is enrolled in. You can select one course at a time.

Course Offering Closed The Course Offering list enables you to filter courses based on Courses offered at the campus, Courses shared with other campuses, or Courses shared from other campuses.

DepartmentsClosed Lists all active departments. If the page has filters and Department is a filter, you can select up to 10 Departments at a time. The Departments filter in Class Schedule and the Departments property in Copy Class Schedule under Properties to Copy is visible only when you enable Faculty Workload Management. If the Department property is not selected during the Copy Class Schedule, Anthology Student displays a blank value in Department for the new Class Section.

InstructorClosed The primary instructor assigned to the course or class section.

TermsClosed Select the available terms with start and end dates for each term. You can select up to ten terms at a time.

Procedure to Fill from Period Template

Anthology Student automatically adds the dates and times in the schedule to the attendance list for the student.

If you selected the Class Meets at Various Days/Times option using the General tile and you specify a schedule here, Anthology Student includes all the classes in the attendance for the student. If you do not want attendance for all the classes on the schedule, you should not select the option and then specify a schedule.

  1. On the Meeting Days tab, select the + Fill From Period Template button. All existing schedules for the class sections will be deleted.

  2. Select the Fill Schedule button in the message dialog box.
  3. Select one or more period templates, and select OK.

  1. Review the information for all pattern records that were generated. Under Period Details, review the BuildingClosed The name of the building where the class is taken. The values are configured by your institution., RoomClosed The code and name of the room where the class is taken. Rooms are defined by your institution., and LocationClosed The building and room that will be used for the meeting. Select the building and then select the rooms within the building. Anthology Student displays the location selected for the building when it was configured. The building and room specified here will be included, by default, in all subsequent meeting days. If you change the location on the meeting days, the building and room fields will be displayed without any values in the Recurrence page. The specified values are retained only when the building and room is the same for all meeting days. and make any needed changes.

  2. Under Period Details, take any additional actions appropriate for instructors.

    Add one or more instructors to a day and the instructors were not specified using the Instructors & Portal Options page
    1. Select the + Add Instructors button

    2. Specify the following values on the dialog.

      AttributesClosed Attributes associated with the instructor. Attributes are configured by your institution and associated with the instructor when they are added as a staff member to Anthology Student.

      Final GradesClosed Enables the secondary instructor to post final grades.

      Hourly AssignedClosed The number of hours assigned to the instructor. If you are using Faculty Workload, the hours assigned using that module are used by Faculty Workload instead.

      InstructorsClosed Select one or more instructors. You can select the magnifying glass icon and select one or more instructors from the list. The instructors are added to the list in the order (rank) you select them. If your institution did not associated instructors to the course, or it did associate instructors and you have permission to override instructor course association and you selected the Show All Instructors check box on the General page, the list displays all the active instructors. If you do not have permission or you remove the check for Show All Instructors, the list contains only instructors associated with the course. You can select a maximum of 50 instructors.

      Post AttendanceClosed Enables the secondary instructor to post attendance.

      Post LessonsClosed Enables the secondary instructor to post lessons.

      Section Instructor AttributesClosed Specifies instructor attributes specific to the class section.

    3. Select the Add button.

    Anthology Student adds the instructors to the: 

    • Instructors column list in the order they were selected on this page

    • Instructors grid on the Instructors & Portal Options page in the order they were selected. If needed you can reorder them on the page.

    Add one or more instructors to a day and the instructors were specified using the Instructors & Portal Options page Double-select in the cell in the Instructors column and select one or more instructors. You can use the list displayed when you double select to scroll and locate the instructors if there are a large number of instructors in the list.
    Remove instructors Double-select in the cell in the Instructors column and select X for the instructor you want to remove.
  3. Select Save to save the period recurrence record.

Anthology Student performs validations and checks for conflicts. For example: 

  • If the Compare Contact Hours with Scheduled Hours check box is selected for the course, Anthology Student checks to make sure the scheduled hours meet the hours specified for the course

  • Anthology Student checks to see if there are any conflicts (such as whether or not the instructor or secondary instructors are already scheduled at that day and time or the room is already reserved)

If there are any conflicts, Anthology Student displays a dialog. If you have the specialized permission to override the conflicts, you can select the Override button to override them.

If there are conflicts for the instructor and you select Cancel instead of Override and you are: 

  • Adding a new class day or period, Anthology Student changes the instructor back to the primary instructor

  • Changing an existing class day or period, Anthology Student changes the instructor back to the instructor that was previously specified
