Create a Batch to Copy Courses
You can use the Process tab on the Copy Courses page to create and queue a batch that copies courses. When you copy courses, you can now select:
-
One or more courses
-
Some or all of the course information
For the new courses, Anthology Student appends -n to the end of the course code. For example, if you make 2 copies of ACCT101, the:
-
First copy will have a code of ACCT101-1
-
Second copy will have a code of ACCT101-2
The maximum length for the course code is 12. If Anthology Student cannot append the suffix to the name because it exceeds 12, an exception is generated and the copy does not complete. If needed, you can change the course code.
Prerequisites
You must have:
-
Common - Processes - View authorization
-
Academics - Processes - Copy Courses authorization
-
Academics - Configuration – Manage
To edit an item associated with more than one campus, you must have access to all the campuses. For example, if the item is configured to be available at three campuses and you only have access to two of the campuses, you can view the item, but cannot edit it. When you add an item, you can only select campuses to which you have access.
Access Methods
Select the Configuration tile > expand Academic Records > select Courses > select a course in the list > select the Copy Courses button in the toolbar.
Select the Processes tile > locate Academics > select Copy Courses.
Procedure to Create and Queue the Batch
You can select a maximum of 100 courses to copy in a batch.
-
Select the Process tab.
-
In Courses, select the search icon (
).
-
On the dialog, select the courses and select Select.
-
Either, select the:
-
Select All check box to copy all the available attributes. If an option is not available or does not apply to course, it is grayed out.
-
Individual attributes you want copied. General is required.
-
-
Select the Queue Copy button.
Anthology Student:
-
Creates and queues the batch
-
Displays it on the Open Batches tab
-
To improve performance, the batch that you create goes into a queue and is processed along with any other open batches in the background on a regular interval. The default is every 15 minutes.
Limitations
Anthology Student does not copy:
-
Parent courses
-
Cross referenced courses
The check boxes for those options is grayed out. You must manually make those changes to the course following the copy.
When Anthology Student Splits the Jobs
To improve performance, Anthology Student sometimes splits a job into multiple jobs. When the jobs are split, you can see them on the Open Batches tab.
The default interval is every 15 minutes. If you need the jobs to be processed more quickly, you can have a staff member with system administrator privileges use the Run Now option. (Select the Processes tile > locate System Administration > select Background Processes.)
Anthology Student processes the copies in the order the courses were selected.
Examples of When Anthology Student Splits the Jobs
If you try to copy the source course and the copy in the same copy job, Anthology Student splits the copy into two jobs so that the numbers are appended sequentially.
For example, if you made a copy of ENG101 (ENG101-1), and then copy ENG101 and ENG101-1 in the same copy job, Anthology Student splits it into two jobs. If:
-
ENG101 was selected first, Anthology Student copies ENG101 first and appends it with -2
-
ENG101-1 was selected later, Anthology Student copies ENG101-1 in a subsequent job and appends it with -3
Anthology Student also splits the jobs in these cases.
-
If the courses have a large number of school defined fields
-
If you specify 100 courses in one copy job (Anthology Student will break the job into 5 jobs with 20 copies each.)
If you need to copy more than 100 courses, Anthology recommends you create and queue more than one copy.
Example
The example shows 2 courses being copied with all of their available attributes.
