SAP Statuses

You can use the SAP Statuses page to configure the satisfactory academic progress (SAP) statuses that your institution can then assign to SAP policies and groups. The SAP statuses indicate whether a student is making SAP in their program and can receive financial aid.

You can also manage SAP using student groups. You can assign the status that indicates students are not making SAP to specific groups.

Anthology Student is installed with two system-SAP status codes.

Code Description Purpose
SAPYES SAP Met Default assigned to the students making SAP.
SAPNO SAP Not Met Default that can be modified and indicates students are not making SAP.

For example, you can use or edit the system SAP Not Met (SAPNO) for students who are not making SAP. You can also add additional statuses to indicate that students are on probation or have appealed. For each status, you can also specify which statuses can receive financial aid. For example, you can specify that students are on probation for not meeting SAP, but can still receive financial aid during the probationary period.

Prerequisites

You must have: 

  • Common - Configuration - View authorization

  • To add a SAP status, Financial Aid - SAP Status – New authorization

  • To edit a SAP status, Financial Aid - SAP Status – Edit authorization

  • To delete a SAP status, Financial Aid - SAP Status – Delete authorization

You should be familiar with the Background for SAP.

Access Method

Select the Configuration tile > expand Financial Aid > select SAP Statuses.

Procedure to Add or Edit Items

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list and the Duplicate button on the toolbar

    • Edit an existing list item, select the name in the list

  3. Review, specify, or change the following values.

ActiveClosed Specifies whether the associated record is active.

CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

Exclude from SAP RecalculationClosed Specifies whether or not students or groups with this status are excluded when you manually or automatically recalculate their satisfactory academic progress (SAP). For example, you would specify No if you had a status for a SAP appeal and you want the appeal to remain on their record after SAP is recalculated for the same time period.

Indicates Student is meeting SAP  Closed Specifies whether or not a student is making satisfactory academic progress (SAP). No indicates that a student cannot receive financial aid. Yes indicates a student can receive financial aid. Select No if you want to associate the SAP status with a student group. Once a group is tied to the status, the field is disabled and cannot be changed to Yes. You can remove the group if you change the value to Yes.

NameClosed The descriptive name of the item.

  1. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

Procedure to Assign SAP Not Met Statuses to Groups

You can use the SAP Statuses page to assign statuses that indicate students are not meeting SAP to student groups that you have created. You can also edit and delete the assigned student groups.

Anthology Student automatically assigns SAP Met to students who make SAP, so there is no need to create or assign groups for that status.

To assign SAP Not Met Statuses to groups, you must have selected No in the Indicates Student is meeting SAPClosed Specifies whether or not a student is making satisfactory academic progress (SAP). No indicates that a student cannot receive financial aid. Yes indicates a student can receive financial aid. Select No if you want to associate the SAP status with a student group. Once a group is tied to the status, the field is disabled and cannot be changed to Yes. You can remove the group if you change the value to Yes. field on the SAP Statuses list.

  1. If you are assigning: 

    • A new status to a student group, select the New button in the SAP Status Group list

    • An existing status to a student group, select the record for the status in the SAP Statuses list and select the New button in the SAP Status Group list

  2. In the dialog, specify or change the following values.

    ActiveClosed Specifies whether the associated record is active.

    Automatically Remove Student When SAP MetClosed Specifies whether or not students are automatically removed from the group when they make satisfactory academic progress (SAP). Yes indicates you want them removed. No indicates you do not want them removed.

    Student GroupClosed The name of the student group. If you are selecting a group and your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus that you are assigned to. If you are selecting a group, it can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

  3. Select the OK button.

To delete a group, select the record for the group in the list and select the Delete button.

You cannot edit the values for a group once it is added. To edit the values, you must use the Delete button to delete the group and then add the group back with the correct values using the New button.
