Resolve/Snooze Exceptions in Batch

In Financial Aid Automation 24.0.0 and later, the Financial Aid Exceptions grid provides contextual actions that enable users with appropriate permissions to resolve or snooze multiple exceptions at once.

The Resolve/Snooze contextual actions are available only when an exception is in Open status and occurred in the last 24 hours. The contextual actions are not applicable to locked exceptions and escalated exceptions.

Select the Financial Aid Exceptions tile.

Procedure to Resolve/Snooze Exceptions in Batch

  1. Select the exceptions you want to snooze or resolve in the Financial Aid Exceptions grid and review the following values if necessary.

    Award StatusClosed The current state of the student's award in the system.

    Award YearClosed The financial aid award year.

    Aged DaysClosed Number of days this record has been retrieved as an exception since it was first created.

    AY|PPClosed This column enables you to see which specific academic year payment period the exception is for without having to navigate to the student on the Award form.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CycleClosed Number of job cycles that have been run with this exception present.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date Last ModifiedClosed The date when the item was last modified.

    Disbursement AmountClosed Amount of the disbursement in dollars.

    Disbursement DateClosed The date the disbursement was paid.

    EscalatedClosed The status of an exception that was escalated to a secondary reviewer.

    ExceptionClosed The title of the specific exception.

    Exception CodeClosed Specific system assigned code for the exception.

    Exception DetailClosed Select for basic details about the exception.

    Exception StatusClosed The current system status of the exception.

    Fund NameClosed Abbreviation/code for the Fund Source.

    Fund Type CodeClosed Specific classification code for the fund source.

    History NotesClosed Selecting the hyperlink enables you to review the history details for that specific exception.

    Outstanding AmountClosed Shows the outstanding amount for the record. Displayed by default.

    ProcessClosed The specific type of job process (COD Import, Disbursement Eligibility, SFAA Initial, etc...).

    Process CodeClosed The system code for the Process.

    ProgramClosed The name of the program. Programs are configured by your institution.

    Program VersionClosed The program version associated with the student or item.

    Staff GroupClosed Group containing staff members in an institution. Typically, the groups are based on departments and job functions. Administrators can use staff groups to assign or revoke access privileges to all the members in the staff group.

    Staff MemberClosed The specific staff member.

    Start DateClosed The first day that the item is effective or can be used.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student StatusClosed Specifies the status of the prospect or student at your institution. Statuses vary by institution. They are configured by your institution. If you change the status for a student, a dialog is displayed so that you can confirm the change. If there are also tasks associated with the previous status, Anthology Student displays a dialog that you can use to select the tasks to keep and the tasks to close with the result of canceled.

    Student IDClosed The ID assigned to the student in the Anthology Student database. While your institution can assign student numbers in a format that they choose, this ID is associated with a student in the database. It is displayed at the end of the URL when you are working with a student in the Student Web App and can also be used to search and locate students.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    TermClosed This column enables you to see which specific disbursement term the exception is for without having to navigate to the student on the Award form.

    Version Start DateClosed The start date of the program version for the campus that the student is enrolling in.

  2. Select the Resolve/Snooze button in the toolbar. The "Batch Resolve and Snooze Exceptions" pop-up is displayed. It indicates the following details:

    • Campuses: Number of campuses the selected records belong to

    • Students: Number of unique students selected from the grid. If the same student is selected multiple times, it is still counted as one.

    • Exceptions: Number of distinct exception codes selected from the grid.

    Note: We recommended selecting the same exception code for bulk resolve or snooze actions for better tracking and managing the exceptions. You can use Advanced Search to filter the exceptions in the grid by exception code.

    If you select multiple exceptions and you are not authorized to resolve or snooze some of the exceptions, the exceptions that you do not have permission for will not be resolved by the contextual action. However, other exceptions for which you have the permission will be resolved.

  3. Select a Resolution Method. The options are Resolve and Snooze (default).

    If you select:

    • Resolve, specify a comment in the Note field

    • Snooze, specify values in the Date, Time, and Note fields

  4. Select the Resolve or Snooze button to close the pop-up and submit your action. The system will update the status of the selected exceptions to the appropriate status and will display a corresponding confirmation message:

    "The exceptions were successfully resolved" or "The exceptions were successfully snoozed"

    The values you entered in the "Batch Resolve and Snooze Exceptions" pop-up (e.g., notes, date, time) will be saved in the History Notes.
