Registration Locks

You can manually add, edit, or delete a registration lock.

You can manage registration locks for a: 

  • Student from the Student Profile (Select the Students tile > select the name in the Students list.)
  • Group from the Groups page (Select the Groups tile.)

You can: 

  • Schedule locks that prevent students from registering or making changes to registered classes (such as unregistering and dropping) 

  • Limit locks that prevent students from registering for too much or too little (such as too many hours or credits in a term)

When a staff member uses the Student Courses page to try to register a student with a lock, Anthology Student displays a message. To override a registration lock, the staff member must have the Academic Records permission Allow User to Override Registration LocksClosed Select the check box to give a staff member permission to override any configured registration locks. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.).

Prerequisites

To view the page, you must have:

  • Common - Student - View authorization

  • Academics - Registration Rule - View authorization

To add, edit, and delete a registration lock, you must have Academics - Registration Rule - New, Edit, and Delete authorization.

To add, edit, or delete a registration lock from the Groups page, you must also have: 

  • Common - Student Group - View authorization

  • Common - Show Student Groups tile authorization

Access Methods

Select the Students tile > select the name in the Students list > expand Academic Records > select the Registration Locks tile.

Select the Groups tile.

Procedure to Add or Edit a Lock

  1. If you are on the: 

    • Groups page, select the Registration Locks button

    • Student Profile, verify that the program version is correct. If not, select the specific program version in the Program Version list.

  2. Review the values of the records in the grid.

    Drop CoursesClosed Indicates the dropped courses are included when evaluating the minimum and maximum limit.

    GroupsClosed The group that the lock is associated with.

    LimitClosed The maximum or minimum limit.

    LOA CoursesClosed Indicates the leave of absence (LOA) courses are included when evaluating the minimum and maximum limit.

    Lock TypeClosed Select Schedule Lock to prevent course registration, unregistration, drop, and so on. Unit Type, Limit, Include Drop Courses, and Include LOA Courses are disabled for Schedule Lock. Select Maximum Limit Lock or Minimum Limit Lock to specify a maximum or minimum required to register. This is used with the unit you specify and the limit. For example, you can specify a minimum lock of 6 credit hours.

    Term TypeClosed Select the type of term where you want the registration lock applied.

    Unit TypeClosed Specify the unit you want to use for the limit. The values are Credits, Enroll Status Credits, Enroll Status Hours, and Hours.

  3. If you want to: 

    • Add a student registration lock, select the New button

    • Edit a registration lock, select the Term Type link

  4. Specify the following values.

    Include Drop Courses Closed Indicates the dropped courses are included when evaluating the minimum and maximum limit.

    Include LOA CoursesClosed Indicates the leave of absence (LOA) courses are included when evaluating the minimum and maximum limit.

    LimitClosed The maximum or minimum limit.

    Lock TypeClosed Select Schedule Lock to prevent course registration, unregistration, drop, and so on.     Term TypeClosed Select the type of term where you want the registration lock applied.

    Unit TypeClosed Specify the unit you want to use for the limit. The values are Credits, Enroll Status Credits, Enroll Status Hours, and Hours.

  1. If you want to save and: 

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

The table shows the options for Term Type and the action by Anthology Student.

Action You Want Anthology Student to Take Value to Select

Check the lock limit across all the terms in an enrollment for the student. This includes:

  • Parent and child terms

  • Terms that are configured with Registration/Attendance selected

The lock is applied collectively for an enrollment. For example, if the Unit Type is Credits and the Limit is 6, and the student tries to register for 7 credits in a parent and child combination, Anthology Student prevents registration.

All Terms
Check the lock limit across all the parent terms in an enrollment for the student. The total of the credits for the child terms is calculated for the parent limit. Anthology Student does not check terms without a parent and child relationship. All Parent Terms
Check the lock limit for all the terms that are configured with Registration/Attendance selected in an enrollment for the student. All Registration/Attendance Terms
Check the lock limit for the specific term you select in the Term list in the enrollment for the student. A Specific Term

Procedure to Delete a Lock

  1. If you are on the: 

    • Groups page, select the Registration Locks button

    • Student Profile, verify that the program version is correct. If not, select the specific program version in the Program Version list.

  2. Highlight the record you want to delete in the list.

  3. Select the Delete button on the toolbar.
