Contact Information

You can use the Contact Information tile from the Campuses page to add or edit the addresses, phone numbers, and the personnel at the campus with specific titles.

In addition to the official address, you can also specify the Remittance Address if it is different from the official address. For example, you can use the official address on transcripts and remittance address on the payment coupons. If you:

  • Specify a remittance address, Anthology Student prints it on the return coupon section of the student statement or third party invoice

  • Do not specify a remittance address, Anthology Student uses the campus address

The fields you specify here can also be used as merge fields when you create task templates. For example, the address, remittance address, and personnel can be merged into task templates.

Prerequisites

You must have: 

  • To view the page, System – Settings - Campuses - View authorization

  • To specify or change, System - Settings - Campuses - Manage authorization

Access Method

Select the Settings tile > expand System > select Campuses > select the New button and specify the general information or select an existing campus in the list > select the Contact Information tile.

Procedure to Add or Edit Items

  1. Under Contact Information, specify or change the values.

CityClosed The name of the city.

CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

Display Name Closed Specifies the display name of the campus on the website.

Email AddressClosed The email address.

Email FormatClosed Select the format for emails. Plain text does not support HTML formatting. If you select HTML, you can insert HTML formatting codes. You can also use an external HTML editor to create a message that you can then cut and paste into your email message.

Fax NumberClosed The number where a facsimile (fax) can be received.

Foreign School Closed Select the check box to indicate the campus is a foreign school. The option is used for Common Origination and Disbursement (COD) to support the current Common Record XML schema requirements. Enabling this flag restricts the population of the Program of Study tag to foreign schools. The Program of Study tags for foreign schools are linked with CIP codes based on the following program grouping logic using program study codes: 01=Medical, 02=Nursing, 03=Veterinary, and 04=Other.

Phone Number 1Closed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

Phone Number 2 and 3Closed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

StateClosed If within the United States, the name of the state.

Street Address Closed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

ZIP Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid zip codes.

  1. If the payment address is different from the official address, specify or change the address Under Remittance Address.

  2. Specify the Remittance Address if it is different from the official address. This allows you to use the return coupons printed on students' statements and third-party or agency invoices. The Remittance Address can be configured for each campus. For example, schools may need the official address on transcripts but not on the payment coupons.

    • When the remittance address is configured, it is printed within the return coupon section of the statement or invoice.

    • When the remittance address is left blank, CampusNexus Student uses the campus address, if configured.

    The remittance address fields appear as mail merge fields and are available for selection when adding or editing letters.

    CityClosed The name of the city.

  3. Specify the Corporate Address

    Corporate CityClosed The name of the corporate city.

    Corporate CountryClosed The corporate country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    Corporate StateClosed If within the United States, the name of the corporate state.

    Corporate Street AddressClosed The corporate street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

    Corporate ZIP Code/Postal CodeClosed The postal code for the corporate address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid zip codes.

    Use Corporate Address on Transcript HeaderClosed Select the check box to use the corporate address on the transcript header for all transcript types, such as, Official and Unofficial.

  4. For the titles under Campus Personnel for Mail Merge, select the names of the staff members that you want used in merge fields in task templates for the titles.
  1. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
