Automated Student Fund Management

You can configure student-specific funds using the Automated Student Fund Management form. The values of the student-specific individual funds are used to assess, distribute, and award financial aid when a student is evaluated by the automated awarding process.

When Automated Awarding is done through a scheduled job, a Run Now job, or through auto-packaging or auto-repackaging, any fund that is configured to be awarded through Student Fund Management will be the first priority regardless of the Fund Source Priority Order or Fund Source Rules configuration.

A student awarded a disbursement from a specific fund source via Student Fund Management can also be awarded a separate disbursement from that same fund source via Fund Source Rules.

If a student is awarded through Automated Student Fund Management and then a configuration was changed:

  • If the fund was in Approved status, the already awarded fund would have any increase awarded, but any decrease could warrant disbursements to be cancelled.

  • If the fund was in Estimated status, any increase would be awarded, but any decrease could warrant disbursements to be deleted.

  • If the full fund was no longer needed, an Approved fund would get zeroed out and cancelled, but an Estimated fund would be deleted from the award form.

The Student Fund Management does not limit the quantity of Fund Source Type, Fund Source, Agency, or Agency Branch of the same or different amount, award year, or payment period for any single student within their enrollment period, academic year, or payment period.

If an exact duplicate Student Fund Management is configured, the system will display a notification message. You can:

  • Select “Yes” and go directly to the academic year the fund is awarded within and update the award manually.

  • Select “No” and view the Student Fund Management to review how it is configured and then create a new fund that is not a duplicate.

You can configure multiple quantities of the same Fund Source Type, Fund Source, Agency, or Agency Branch, as long as there is at least one distinct configuration that makes it not an exact duplicate for one student.

  • Financial Aid Automation - Processes - Automated Student Fund Management - Process - Delete, Edit, Save, and View authorization

Access Method

Select the Processes tile > expand Financial Aid > select Automated Student Fund Management.
