Create a Batch to Export Batch Headers

You can use the Export Batch Headers page to create and queue a batch that adds records to the Talisma Fundraising database for recruiting and fund raising.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • System Administration - Processes - Export Batch Header - Queue authorization

Your institution must have configured Talisma Fundraising Integration for Anthology Finance & HCM. Select the Settings tile > expand System > select Integrations.

Access Method

Select the Processes tile > locate System Administration > select Export Batch Headers.

Procedure to Create and Queue the Batch

  1. Select the Process tab.

  2. Specify the values under Selection Criteria to filter the list.

    Enrollment StatusesClosed Specify the status of enrollment. The options are Dropped or Attending.

    Exported Batch NameClosed Specify the exported batch name.

    External BatchesClosed Specify all the batches which are already exported to Talisma Fundraising. You can select only one batch at a time.

    GroupsClosed The name of the student group. If you are selecting a group and your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus that you are assigned to. If you are selecting a group, it can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

    OptionsClosed Specify whether to create a new batch or create a batch from an existing batch. If you opt to create a new batch, the Groups field appears on the selection criteria. If you opt to create from an existing batch, the External Batches field appears.

  3. Select the Next button. Anthology Student populates the results list.

  4. In Results list, review the following values.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Current School StatusClosed Indicates the present enrollment status of a student.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

  5. Select the Queue Students  button.

    You can select or clear student(s) to include in the export without impacting the original student group created. The information passed to Talisma Fundraising is gathered based on each student ID within the selected student groups and formatted accordingly. A unique export batch ID is associated with each export batch and used for tracking purposes.

    Anthology Student validates for duplicates within each student group selected for export to ensure the same student information record is not exported more than once in the same file. If a student has multiple enrollment records that satisfy the export criteria, the export contains a student information record with multiple enrollment records and associated statuses.

    If a student's record is exported and the student already has a record in Talisma Fundraising, the placement and academic information is updated in Talisma Fundraising, but the student's address information is not updated.

  6. On the Queue Students dialog, review or change the name of the batch and select the Queue button.

Anthology Student processes the batch to add records to the Talisma Fundraising database.

When the batch completes, Anthology Student displays the results on the History tab so that you can review the results of exported batch headers.
