Add, Edit, or Delete a Placement for a Student

You can: 

  • Add a new placement for the selected student

  • Delete a placement

  • Edit an existing placement

You can also add an employer contact while editing a student's placement.

Prerequisites

You must have Common - Student - View authorization.

You must also have: 

  • If you are adding a new placement, Career Services - Student Placements - New authorization

  • If you are editing a placement, Career Services - Student Placements - Edit authorization

  • If you are deleting a placement, Career Services - Student Placements - Delete authorization

You must be authorized for the campuses configured for the employer.

Access Method

Select the Students tile > select the name in the Students list > expand Career Services > select the Placements & Internships tile.

Procedure to Add or Edit a Placement

The following fields are required by Anthology Student.

  • Date Placed

  • Employer

  • Job Type

  • Placement Status

  • Start Date

  • Student Name

For the remaining fields on the Placement & Internships page, your institution can: 

  • Select the remaining predefined fields in Anthology Student that they want on the page

  • Add school defined fields that get displayed under Additional Placement Information - School Defined Fields on the page

For both predefined and school defined fields, you institution can specify which fields are required and the order they are displayed. For example, if your institution makes the Salary field required, you must specify an amount even if the position is unpaid.

In addition to fields varying based on how your institution configured the fields, certain fields are only displayed based on your action. For example, if you are: 

  • Editing a placement, the Termination Date and Termination Reason fields display.

  • Adding a new placement, the Salary Amount, Salary Status, and Salary Type fields display. Entries in these salary fields then populate in the Salary Information section.

The Comments field only displays on the form: 

  • When a placement verification is edited (It is not displayed when adding a new entry.)

  • Audit is enabled and when you are editing an existing salary

If displayed, the Comment field is required in order to save the form if there are changes made to any of the three required fields on the form:

  • Salary Amount

  • Salary Type

  • Effective Date

Follow this procedure.

  1. If you want to:

    • Edit a placement, select the placement record in the list.

    • Add a placement, select New.

  2. In Employer and Position, specify the following values.

    Class SectionClosed The class or course section name.

    EmployerClosed The name of the employer. If you are selecting the employer from a list, it contains the names of all the employers configured for your institution.

    Job IDClosed The number that Anthology Student automatically generates for the job.

    Job TypeClosed The type of job. Job types are configured by your institution and used to categorize jobs into categories.

    Placement StatusClosed The placement status of the student.

    PositionClosed The name of the job position. Select Unlisted if the job is not displayed in the list.

    The employer details underneath these fields (Employer Address, Phone Number, etc...) will auto-populate after you make your selections.

  3. In Placement Information, specify the following values.

    Benefits TypeClosed Indicates whether benefits such as vacation, insurance, holidays, retirement plan, etc. were included with the job offer. The options are Yes and No.

    Career Services AdvisorClosed Select the Career Services Advisor.

    Current Intern/ExternshipClosed Does the student currently have an Internship or Externship?

    Date PlacedClosed The date the student is being placed.

    End DateClosed Specify the date the job ends or select it from the calendar tool.

    Exact Job TitleClosed Specific title for the job position.

    From InterviewClosed Was the job acquired from the interview set up by the school with the employer? The options are Yes and No.

    How PlacedClosed The method of placement. The values are configured by your institution.

    In Field of StudyClosed Was this job in the student's field of study? Select Yes, No, Related.

    Job CategoryClosed Select a job category. They are configured by your institution.

    Job DescriptionClosed The job description is a written narrative that describes the general tasks or other related duties and responsibilities of a position. Example: The Human Resources Manager will lead and direct the routine functions of the Human Resources (HE) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing company policies and practices.

    Job ScheduleClosed The job schedule. Select Full Time or Part Time.

    Job SourceClosed How was the student placed in the job. The job sources are configured by your institution.

    Job StatusClosed The status of the job. The options are Employed or Terminated.

    Job TitleClosed The job title.

    NoteClosed Area that displays, or that you can use, to specify comments or additional information.

    Placement FeeClosed If there is a related placement fee or not

    Salary AmountClosed Salary amount for the placement.

    Salary StatusClosed If the salary for the placement is estimated or an actual amount.

    Salary TypeClosed Specifies the way the salary is paid. They are configured by your institution.

    Start DateClosed Enter the date the student starts the job or select it from the calendar tool.

    SupervisorClosed The name of the supervisor for this position.

    Supervisor Phone NumberClosed The supervisor's phone number.

    Termination DateClosed Date the Placement ended

    Termination ReasonClosed Reason the Placement ended

  4. If you want to:

    • Edit a salary, select the salary record in the list.

    • Add a salary, select New

  5. In Salary Information/New Salary, review/specify the following values.

    ActiveClosed Specifies whether the associated record is active.

    CommentClosed Area you can use to specify comments or additional information about a change or a request.

    Salary AmountClosed Salary amount for the placement.

    Effective DateClosed Start date of the salary.

    Include In ReportingClosed If the salary information should be included in reports

    Salary StatusClosed If the salary for the placement is estimated or an actual amount.

    Salary TypeClosed Specifies the way the salary is paid. They are configured by your institution.

    The salary details at the top of the section (Yearly, Hourly, Volunteer, Flat Rate) will auto-populate after you make your selections.

  6. If you want to:

    • Edit a placement verification record, select the record in the list.

    • Add a placement verification, select Add

  7. In New Placement Verification/Edit Placement Verification, review and specify the following values.

    CommentsClosed Area you can use to specify comments or additional information about a change or a request.

    NoteClosed Area that displays, or that you can use, to specify comments or additional information.

    Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    Verification AgentClosed The name of the verification agent.

    Verification DateClosed The date of the verification.

    Verification RepresentativeClosed Name of the verification representative.

    Verification Agent TitleClosed The verification agent's title.

  8. If your institution configured school defined fields, complete the fields under Additional Placement Information - School Defined Fields. Because the fields vary by institution, your institution will provide any tooltips or additional information you need to complete or edit the fields.
  9. Select Save.

  10. If you now want to save the placement record and: 

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

Procedure to Delete a Placement

  1. Highlight the record you want to delete in the list.

  2. Select the Delete Placement button on the toolbar.

  3. In Delete Placements & Internships, specify the following values. The fields that are displayed depends on the Placement Status,

    CommentsClosed Area you can use to specify comments or additional information about a change or a request.

    Placement StatusClosed The placement status of the student.

    ReasonClosed Reason for the change in a record or a value in the record.

  4. Select the Confirm Delete button.

  5. If the Placement StatusClosed The placement status of the student. or ReasonClosed Reason for the change in a record or a value in the record. you selected has an associated questionnaire configured in the Reasons page (Select the Configuration tile > locate Career Services > select Reasons.), then a pop-up questionnaire form is displayed with the questions configured by your institution. Specify the required details.

  6. Select Save to save the changes.

If You Are Editing and Want to Add an Employer Contact

  1. Select the placement you want to add an employer contact for.

  2. Select the "+" button to the right of the Supervisor field.

  3. In the Add Employer Contact pop-up form, specify the following values.

    ActiveClosed Used to set the Employer-Location association. (enabled by default)

    CityClosed The name of the city.

    Contact AttributesClosed Used to group characteristics for employer contacts.

    Contact TypeClosed The status of the Post Withdrawal Disbursement Notification document. The statuses used are: Pending, Approved, Rejected, Expired, Processed, Sent, Resent, and Document Received.

    CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    Email AddressClosed The email address.

    Ext.Closed Extension for the phone number.

    Fax NumberClosed The number where a facsimile (fax) can be received.

    First NameClosed The first name of the student or person.

    Last NameClosed The last name of the student or person.

    Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    Phone Number 2Closed A secondary phone number. The format will depend on how your institution configured phone numbers (such as whether or not it uses parenthesis and hyphens).

    Phone Number 2 TypeClosed The type of phone (for example, mobile).

    Postal CodeClosed Mailing code (letters/digits) for country other than the United States.

    Primary ContactClosed Indicates if the individual is the primary contact for the employer.

    Street AddressClosed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

    StateClosed If within the United States, the name of the state.

    TitleClosed The title for the person.

  4. Select Save.
