Servicer Export

You can use the Process tab on the Servicer Export page to create a job that exports files for servicers. The exported files contain enrollment information for the students requiring and receiving financial aid.

For batches that you created to export files to servicers, you can use the History tab to review the batch jobs and manage batches that have been queued. For example, you can:

  • Cancel batches that have been queued, but have not been executed and completed yet

  • Retry batches that failed

  • Review the status of all the batches and select batches to review the list of students

Anthology Student 22.0 and later enables customers to manage files in Azure File Storage using the Financial Aid Processes File Management form under Processes > System Administration. Without this form, users cannot upload or download files to Azure File Storage due to security restrictions. The file management functionality enables you to place files in the location where specific financial aid processes (e.g., Application Data Export/Import, Clearinghouse, NSLDS Reports, and others) expect to find the files. Prerequisites

You must have Common - Processes - View authorization. You must also have the authorization appropriate for the type of file you want to export.

Your institution must: 

  • Have configured the servicer (including the number assigned to your institution and the location where the files will be exported) 

  • Not have configured automated export for servicers files for the campus (If automated exports have been configured, you must use the Job Management interface to export the files.)

You should be familiar with the Background for Servicer Export.

Access Method

Select the Processes tile > expand Financial Aid > select Servicer Export.

Procedure to Export a Servicer File

Process Tab

Use the Process tab to filter the data and queue the batch job.

  1. Select the Export TypeClosed Specifies the type of file you want to export. Pre-Pull Extract extracts all students currently enrolled in school with a schedule for the selected upcoming terms. Add/Drop Extract extracts all the students previously extracted in the Pre-Pull file to submit an update of their enrollment status..

    Anthology Student displays the fields appropriate for the value you selected.

  2. Specify appropriate values in the following fields. The fields will vary depending on the selected Export Type.

    Campus GroupClosed The group you specified for the campus. Your institution configures the groups for campuses.

    Extract DateClosed The date used to determine the students to export. The default is the current date.

    Include Futures Up ToClosed When combined with the date in the Extract Date field, specifies the date range for the export. If the expected start date for a student is in the range, the student is included in the export. The Include Futures Up to date must be after the date for Extract Date. The field is only displayed if you selected Weekly Extract in the Export Type list.

    Global School Closed Specifies the number assigned to the campus group by Global. The maximum is 4 characters.

    Include Notification of Payment RecalculationClosed Select the check box if you want Anthology Student to place an asterisk (*) in the ESTES (Estimated Enrollment Status) field of the file. See the background servicer export for additional information the conditions required for the field to be populated.

    Only Show Active TermsClosed Filters the values in the Terms list so that only terms that are configured as active are displayed in the list.

    Only Show Current Terms Closed Filters the term list so that it only contains terms where the start date is less than or equal to the date today and the end date is greater than or equal to the date today.

    TermClosed Terms that you want included in the analysis for the export. It only displays terms that have been configured to be a Global extract term. If you selected the Only Show Active Terms or Only Show Current Terms, the list is also filtered by those options.

  3. Click the Create File button.

    For pre-pull files, Anthology Student checks if an export has been done for the selected terms. If an export has been done for one or more of the terms, Anthology Student cancels the export.

    Anthology Student displays a dialog that shows the location where the file is exported and the name of the file created. The format is SFglobalschoolnumber.nnn. For example, if the value for Global School is 1234 and this is the third time you have exported a file, the file name is SF1234.003.

    You can review the file before it is sent to the servicer by selecting the History tab.

History Tab

Use the History tab to review the results of manually queued jobs.

Batches on this tab are available for 28 days by default. Anthology Student removes them after 28 days. If you need to keep the information for a batch, use the Export (Export button) button on the toolbar.
