Close Tasks for Students from Your Tasks List

You can complete and then manually close tasks for one or more students. You must close tasks that display one of these values for Event Type for the task:

  • Incoming Phone Call

  • Meeting

  • Other Task

  • Outgoing Phone Call

For the other Event Types, the task is completed and closed automatically by Anthology Student. For example: 

  • For Email Student, the email is sent and then closed automatically by Anthology Student

  • For Letter, the letter is printed by you and then closed automatically by Anthology Student once the print is complete

While it is possible to manually close tasks that are completed and closed automatically by Anthology Student, manually closing those tasks prevents Anthology Student from completing the tasks. For example, if you manually close a task for an email that has a status of Pending, the task is closed but the email is not sent.

Prerequisites

You must have Contact Manager - Task - Close authorization.

If policies are enabled, you must be either:

  • Assigned to the task

  • Have the necessary permissions in the policy

Access Method

Select the Tasks tile.

Methods for Closing Tasks

There is more than one method for closing a task. You can close a task: 

  • By editing the task and changing the status

  • Using the Close Task button on the toolbar

You must use the Close Task button if you: 

  • Are closing a task for a task template configured with an Event Type of Incoming Phone Call, Meeting. or Outgoing Phone Call and it has a call script (The script is not displayed if you edit the task.) 

  • Want to change the status of a student who is a lead

Procedure to Close a Task By Editing It

  1. Select the task in the list.

  2. On the page, select Closed in the Status list.

  3. Complete these values on the page:

    Date CompletedClosed The date when the item was completed.

    Task ResultClosed The outcome of the task. The list is only displayed for a Status of Closed. It contains results defined by your institution.

  4. If the task: 

    • Is configured in Anthology Student to require a follow-up task, click Save & Close so that you can create the follow-up task

    • Is not configured Anthology Student to require a follow-up task, click Save

Procedure to Close a Task Using the Close Task Button

  1. Highlight the task in the list.

  2. Click Close Task on the toolbar.

  3. Take the action appropriate for result in Anthology Student for the task template.

    If there is a script configured in the task template, Anthology Student displays the script so that you can ask the questions.

    1.  Use the script to ask the questions and record the answers.

    2.  If you want to save and: 

    • Print the completed script, click the Print button.

    • Return to the script again before closing the task, click the Save button. Anthology Student saves the answers and redisplays the list.

    • Proceed with closing the task, click the Save & Close Task button. Anthology Student saves and displays the dialog for closing the task.

    If you there is no script or there is and you clicked the Save and Close Task button after completing the questions, Anthology Student displays the dialog to close the task.

    1.  Complete the values on the dialog.

    Change Student Status and StatusClosed When completing the task results in a new status for the lead, select the check box and select a new status. The check box and list are only displayed if the student has a Anthology Student Status Category of Lead (such as New Lead, Interview Schedule, or Interviewed).

    Date CompletedClosed The date when the item was completed.

    Task ResultClosed The outcome of the task. The list is only displayed for a Status of Closed. It contains results defined by your institution.

    2.  If the task: 

    • Is configured in Anthology Student to require a follow-up task, click Close & Follow Up. Anthology Student displays a dialog so that you can chose to create a follow-up task. 

    • Is not configured in Anthology Student to require a follow-up task, click Close Task.
